The Summary

Yahsaka.Inc is a Japanese workforce solutions provider delivering smart attendance and bookkeeping automation systems for enterprise clients. As client organizations expanded across distributed offices, relying on dedicated physical punch-in terminals drove up operational overhead and created disconnected, manual processes for tracking hours, calculating salaries, and issuing invoices. To solve this, BlueOC partnered to build an integrated cloud platform combining mobile QR-code attendance, automated salary calculations, recurring monthly billing, and real-time administrative dashboards.

The Challenge

Scaling workforce operations across hybrid teams exposed the limitations of traditional hardware-dependent time clocks and disconnected back-office workflows. Yahsaka needed a flexible, end-to-end platform that eliminated physical biometric devices while automating time tracking, payroll calculations, and enterprise subscription billing. The engineering team addressed several key technical barriers:

Hardware Dependency & Deployment Costs: Sourcing and maintaining physical attendance terminals generated recurring hardware costs and restricted setup flexibility across multi-location workspaces.
Manual Payroll & Invoicing Overhead: Calculating employee salaries from raw attendance logs and issuing manual client invoices led to operational delays and calculation errors.
Peak-Hour Traffic Spikes: Check-in and check-out windows created sharp concurrency spikes on backend systems, requiring dynamic cloud scaling to prevent latency.
Lack of Centralized Administration: Receptionists, office managers, and HR teams lacked a unified console app to track real-time attendance, monitor workspace utilization, and manage subscription plans.

The Solution

BlueOC engineered a cloud-native mobile and web ecosystem across four core technical areas

Mobile QR-Code Attendance & Workspace Tracking

Built native iOS and Android mobile check-in/out via dynamic QR-code scanning.
Enabled dual-mode scanning: employees scan workspace codes or front-desk operators scan employee QR badges.
Integrated real-time timestamping, break-time logging, and personal work-history tracking.

Automated Payroll, Bookkeeping & Invoicing Engine

Implemented automated salary calculation algorithms mapped directly to verified attendance logs.
Automated recurring monthly billing and subscription plan management.
Integrated automated invoice generation and dispatch to streamline client bookkeeping.

Admin Console & Workspace Utilization Dashboard

Developed a web-based console app tailored for HR managers, front desk staff, and receptionists.
Built centralized dashboards featuring real-time attendance logs, reason notes, and exportable reports.
Streamlined role-based workspace management and automated employee notification workflows.

Auto-Scaling Cloud Infrastructure & Tenant Onboarding

Migrated backend services to a cloud-native architecture with dynamic auto-scaling for peak check-in windows.
Developed a public-facing portal for self-service client onboarding and flexible subscription setup.
Enforced OWASP secure coding conventions and automated quality audits across releases.
